Use a Recently Issued Certified Copy of Your Vital Record
As here in OMA Services, LLC well know -many states require that birth certificates, marriage certificates, death certificates, and other vital records be issued within the last 2–5 years before they are eligible for an Apostille or Authentication. This is because the Secretary of State must be able to verify the signature of the registrar or public official who certified the document. If that official has retired, changed positions, or their signature is no longer on file, the document may not qualify for an Apostille.
Before Submitting Your Documents
We suggest that you:
Check the document requirements for your destination country.
Verify with the Apostille office of the issuing state if your certified copy needs to be less than 2–5 years old.
Get a new certified copy if your current document is older or if you're unsure about meeting your state's requirements.
Reach out to OMA Services before sending your documents. Our specialists will examine your paperwork and assist in determining if a newer certified copy is necessary, potentially saving you time, money, and avoiding unnecessary processing delays.
OMA Services Tip: Requirements vary by state. While many states use the 2–5 year guideline for certified vital records, others may accept older certified copies if the registrar's signature can still be verified. We verify the current requirements before your documents are submitted whenever possible
